On the Day Coordination

SERVICE INCLUSIONS:

1-3 months turnover before the wedding date

 

EVENT PRIOR:

  • Meet with the couple for discussion of details and contract signing

  • Turnover all the contracts to suppliers for review

  • Unlimited Consultation for updates

  • Creating Timeline Management

  • Ocular Visitation of the Venue

COORDINATORS                                                                                                     

  • Consist of 3 on the day  Wedding Coordinators.

  • 1 event manage 2 on the day coordinators

  • All equipped with 2 way radio sets.

  • All Staff Wear Professional Uniforms on the event date with name tags

  • Full Assistance from preparation-church-reception

 

PREPARATION/HOTEL  

  • Early Morning Arrivall of coordinators to check everything which includes suppliers call time.

  • Coordination with the hotel contact person for any guidelines

  • Coordinator will assist the bride and groom at the hotel during preparation

  • Check listing of materials needed at the church (candle, veil, cord, bible) etc.

  • Checking suppliers call time ( hair and make-up, flowers ) at the hotel

  • Checking call time for entourage needed at the hotel

  • Assist the bride and groom during their detailed photo shoot

  • Responsible in assisting the photo and video team for their photo-shoot

CHURCH

  • Responsible in checking church amenities prior to the event

  • Coordinating with the church contact person

  • Checking seating arrangement for the entourage participants

  • Coordinating with the choir for the songs to be used

  • Checking church set up including flowers

  • Responsible in checking participants for the entourage attendance

  • Assist the whole entourage during their processional line up for the grand entrance

  • Responsible in distributing the flowers to the entourage participants

  • Assistance during photo ops will be hosted by one of the coordinators

  • Coordination with the Photo and Video for the Post Nuptial

  • Full assistance on the whole wedding Ceremony

 

RECEPTION

  • Checking Suppliers needed at the reception

  • Set up guest book/ signature frame if any

  • Checking set up of place cards for each table

  • Check the cake/gift table

  • Coordination with the caterer for any instructions during dinner

  • Coordination with the sound system for any related music to be played.

  • Checking avp,sde and any other presentations

  • Checking Reception Set up according to the client’s agreement.

  • Receiving guest at the registration Table

  • Assist guest to their respective tables

  • Assistance during Dinner/ Photo op per table

  • Cue all the participants for the program

  • Distribution of Souvenirs  to guest

  • Payment distribution to suppliers ( option of client )

  • Turnover of materials used at the reception to respective suppliers ( after event)
